The PA to the MD must be aware of the organization’s aims and objectives and work to help the MD make the best use of his time. The PA will be the first point of contact with both internal and external people. Discretion and confidentiality are essential attributes to be successful at this role.
Duties and Responsibilities
- Meeting management: scheduling and setting up internal and external meetings including agenda management, minute taking, action tracking, refreshments, and relevant communication.
- Diary and calendar management: supporting the Managing Director, and administration of all shared calendars.
- Act as a liaison for the Managing Director for internal and external inquiries.
- Information management: management of electronic and paper filing systems including structure, access, policy, quality control and data protection.
- Draft high-level presentations, communications and documents using Word, Excel, and PowerPoint
- Conduct research, collect and analyze data to prepare reports and documents for the MD.
- Monitor, screen, respond to and distribute incoming communications.
- Acting as first point of contact. Receiving and making calls for the Managing Director
- Plan and organize travel and accommodation when required.
- Provide reports for senior management as required.
- General duties as required and provision of backup cover/holiday support to ensure the effective running of the office.
- Any other duties relevant to the needs of the organization and as directed.

Technical and Essential Skills
- Knowledge and experience with complex travel and flight itineraries, particularly international travel/hotel bookings
- Experience of working for Directors/Senior Management
- Essential experience in Microsoft Office- Outlook/Word/Excel/PowerPoint.
- Ability to prioritize work and manage time effectively and be proactive.
- Always demonstrate a professional manner and possess the ability to remain calm under pressure.
Requirements and Qualifications
- Bachelor’s Degree in Business Administration
- 5 – 10 years experience in a highly engaged office in any administration role
- Knowledge of IT, Sales, and Marketing will be an added advantage.
- Strong communication and presentation skills
- Self-motivated and results-oriented
- Ability to interact with cross-functional teams.
- Strong problem-solving abilities
- Highly developed analytical and organizational skills
- Ability to work in a fast-paced environment.
- Ability to maintain a high level of discretion.
