National AIDS Commission (NAC)

BACKGROUND

The National AIDS Commission (NAC) is a body corporate established in 2001 and reconstituted through the HIV and AIDS (Prevention and Management) Act No. 9 of 2018 with new functional roles. The Act mandates NAC to coordinate and provide leadership for the implementation of the National response to HIV and AIDS in Malawi.

An opportunity has arisen to engage qualified persons of Malawian origin to fill vacant positions tenable at NAC Office in Lilongwe.

NAC, therefore, invites applications from suitable candidates to fill the positions of:

ADMINISTRATIVE ASSISTANT: 1 position – Permanent
Grade:  N6
Reporting to: Assistant Administration Officer

Purpose of the job:

To provide secretarial services to the Director and/or Directorate.

Duties and Key responsibilities:

  1. Taking dictation, transcription, and composing correspondence for the Director/Directorate or Division.
  2. Handling telephone calls for the Directorate or Division
  3. Maintaining the Director’s/Directorate’s or Division diary.
  4. Arranging appointments and engagements and assisting in planning the Director/Department or Division officers’ itinerary.
  5. Organizing and coordinating the Director’s/Directorate’s or Division’s staff travel arrangements.
  6. Filing the Director’s business correspondence.
  7. Participating in preparing, collecting, distributing packs to Commissioners and Ex-officials for the Committees’ and Commissioners’ meetings.
  8. Assist in organizing logistical arrangements for Commissioners and Senior Management.
  9. Controlling and monitoring usage of telephones, consumables/ refreshments, and stationary in the Directorate
  10. Consolidating work progress reports.
  11. Welcoming visitors for the Director and other staff within the directorate or division.
  12. Operating office equipment.
  13. Any other duties as assigned from time to time

Academic, Professional Qualifications and Experience

The applicant should possess the following

  1. Minimum of Diploma in Secretarial Studies and Shorthand Certificate of 120 words per minute; plus
  2. At least three (3) years’ practical experience in the relevant field.

Personal Specification

The applicant should possess the following attributes.

  1. Good written and spoken English;
  2. Good interpersonal skills and courteous;
  3. Ability to use various operating office machines and equipment;
  4. Be computer literate in Microsoft Word and ability to use the Internet.
  5. Ability to communicate effectively with people of different levels.
  6. Willingness to work after normal working hours and during weekends.
  7. Excellent oral and written communication skills.
