Job Description
As a procurement officer, you will be responsible for preparing and managing cost estimates for the supply and delivery of goods and services. You will also oversee tendering processes for government and business contracts, ensuring our bids are competitive and financially viable. Additionally, you will maintain an up-todate client register to track key business relationships. Your role will involve detailed analysis of materials, labour, and procurement, contributing to the company’s continued growth in the market.
Key Responsibilities
- Prepare and submit bids and tender documents for government and private sector contracts
- Prepare accurate and detailed cost estimates for a variety of goods and services.
- Develop and manage competitive pricing for tenders, quotations, and bids across B2C, B2B, and B2G markets.
- Analyse and forecast costs for materials, labour, and procurement, ensuring profitability.
- Maintain and update a client register to track business relationships and project progress.
- Monitor and report on project costs, ensuring budgets are adhered to.
- Maintain relationships with suppliers, subcontractors, and clients, negotiating favourable terms.
- Prepare financial reports on estimated vs. actual costs, and manage contract variations.
- Ensure compliance with local procurement laws, tax regulations, and project specifications.
Qualifications and Skills
- Minimum of a diploma in supply chain and logistics, procurement, or a related field.
- At least 2 years of experience in the supply chain industry
- Experience with B2B & B2G tendering processes in Malawi, with particular focus on government procurement in line with PPDA requirements.
- Strong understanding of local and international market pricing for goods and services.
- Proficiency in Microsoft Office Suite (Excel, Word)
- Excellent analytical and numerical skills.
- Strong negotiation skills and ability to meet strict deadlines.
- Familiarity with Malawi’s tax regulations and procurement standards is a plus.
