Project Background

The purpose of the Global Health Supply Chain (GHSC) program – Procurement and Supply Management (PSM) project is to ensure the uninterrupted supply of health commodities in support of USG-funded public health initiatives around the world. The project provides direct procurement and supply chain management support to the President’s Emergency Plan for AIDS Relief (PEPFAR) and the President’s Malaria Initiative (PMI). In supporting USG-funded global health activities, PSM will develop and manage a wide array of services for health commodity procurement and related systems strengthening technical assistance encompassing different elements of a comprehensive supply chain.

At the country level, GHSC-PSM supports country strategies and priorities that fall under the following three project objectives:

  • Global Commodity Procurement and Operational Support
  • Systems Support
  • Global Collaboration to Improve Long-Term Availability of Health Commodities.

We are currently seeking qualified professionals for the following positions:

JOB TITLE: Operations Associate

JOB LOCATION: Lilongwe, Malawi

REPORTS TO : The Operations and Procurement Manager

Position Summary

The Operations Associate will support the Operations and Procurement Manager to oversee general office procedures, including inventory management, facility management, office supplies, utilities, and other responsibilities as assigned.

Principal Duties and Responsibilities

  • Support the Operations and Procurement Manager in providing day-to-day management and oversight for office administration, including communicating with landlord, overseeing facility
    or equipment repairs and maintenance, and supporting operational procurements for furniture and equipment through preparation of Procurement Requests.
  • Work with project IT staff to respond to project IT needs, including managing office IT equipment and liaising with IT vendors (i.e. ISP provider).
  • Support Operations and Procurement Manager to develop and implement key management systems for operations.
  • Support project compliance with U.S. Government regulations, Chemonics’ corporate policies, laws of Malawi, and any supplemental policies developed specifically for the GHSC-PSM project.
  • Maintain the overall integrity of the operations filing system by nsuring that appropriate documentation is saved.
  • Support with hotel reservations for staff accommodation, meetings, and conferences.
  • Assist the project to provide training to project staff on operational policies and procedures.
  • Train and manage the work of Cleaner(s).
  • Support the management and coordination of drivers and vehicle fleet.
  • Oversee proper inventory management practices, including maintaining updated, accurate, and complete inventory database, conducting routine physical asset checks, preparing annual inventory reports.
  • Facilitating proper disposition of property/assets as needed.
  • Perform additional tasks as assigned by Operations and Procurement Manager or project leadership.

Qualifications

  • This post requires a person with a Bachelors’ Degree in Business Administration/ Public Administration, or any related discipline of study from an accredited University or School of Higher
    Learning
  • At least 3 years of progressive experience in a similar position in private sector or international organisations, preferably US-funded organisations.
  • Valid professional registration with Malawi Institute of Procurement & Supply – MIPS.
