ADMINISTRATIVE ASSISTANT

Applications are invited for post of Administrative Assistant at Nexia Graham Carr, Lilongwe Office

Duties and responsibilities

Provide support to Audit and Advisory services

Typing and scanning

  • Financial statements

  • Management letters

  • General correspondence

  • Fee notes/invoices

  • Presentations to the board

Identify tenders from the newspapers and prepare the initial technical and financial proposals and quotations

Proper maintenance of office accounting records.

Receipts

  • Issuing of receipts and ensure deposit slips properly filed

  • Ensure cheques and cash banked promptly and intact

Fee note/invoice book

  • Ensure fee notes/invoices are properly filed and recorded.

  • Maintain and print fee notes/invoices using EDF machine

Property, office equipment, furniture and fittings

  • Maintain insurance of the property, plant and equipment

Tax and secretarial

  • Prepare the tax returns by the due date; Value Added Tax (VAT), Fringe Benifits Tax (FBT), Withholding tax, etc.

  • Maintain the Company’s secretarial files

Proper maintenance of personnel records

  • Personnel general files

  • Personal data forms

  • Incident report forms

  • Bank loans

  • Staff Loan Revolving reocrds

Supervision & Other duties

  • Management of the receiption and ensure all visitors are handled and assisted cordially

  • Organisation of all office meetings

  • Taking minutes

  • Follow up of all matters discussed

Provide supervision to office assistants.

  • Check the quality of the bound copies

  • Control company’s minibus operations

  • Proper control of incoming and outgoing mail

  • General cleanliness of the offices and premises

  • Ensure the offices are properly secured at all times

Any other duties

  • Any other work as might be assigned by Partners/Director/Managers

Requirements

  • Degree in Business Administration/Business Management

  • Secretarial qualifications

  • Outstanding communication and interpersonal abilities

  • Excellent organizational skills

  • Knowledge and experience in basic accounting, administration and human resources

  • Knowledge of Microsoft Office at expert level

  • 4 to 5 years-experience and self-starter.
