As a bid Executive, you will lead the bid process, from initiation to proposal submission. This includes ensuring the timely submission of high-quality proposals that meet client requirements, managing the bid timelines and resources effectively and establishing compliance with all bidding requirements and guidelines. The bid executive will also uphold an understanding of market trends and competitor activity to inform bid strategy.

Duties and Responsibilities

  • Conducting the end-to-end bid process, including opportunity identification, qualification in collaboration with the Sales team, and proposal submission.
  • Developing and executing bid strategies that align with the company’s goals and client requirements.
  • Prepare and review the commercial aspects of the bid, ensuring all products / services are included in the final price to the customer.
  • Coordinating with various teams, including sales, technical, legal and finance to ensure all aspects of a bid are addressed.
  • Managing bidding resources, and timelines to ensure on-time and high-quality proposal submissions.
  • Identifying new business opportunities by monitoring public and private sector tender portals.
  • Maintaining comprehensive and accurate bid documentation, including bid files, records of communication and pricing information. Updating the Sales team on tender follow ups.
  • Coordinate and facilitate bid review meetings, ensuring key internal stakeholders provide input and address concerns or issues.
  • Ensuring compliance with client requirements, regulations, and industry standards by communicating with administration on expired regulatory requirements.
  • Lead and coordinate the entire bid management process, including reviewing bid invitations, conducting bid/no-bid analysis and establishing timelines.
  • Monitoring and evaluating bid performance metrics to identify areas for improvement.
  • Provide Bid reports to senior management.
  • Creating group proposal templates for review by senior management

Technical and Essential Skills

  • Understanding pricing strategies and financial analysis in bid development.
  • Ability to create visually appealing and engaging bid presentations.
  • Strong project management skills, with the ability to prioritize tasks, meet deadlines and manage multiple bids simultaneously.
  • Exceptional organizational and time management skills.
  • Excellent analytical and problem-solving skills to assess bid opportunities and develop winning strategies.
  • Excellent written and verbal communication skills, with the ability to present complex information clearly and persuasively.

Requirements and qualifications

  • Degree or Advanced Diploma in any Business-related field (Administration, HR, Marketing, Procurement).
  • 5 – 10 years’ experience in Bid Management
  • Knowledge of IT, Sales, and Marketing will be an added advantage.
  • Strong written communication and presentation skills
  • Self-motivated and results-oriented
  • Ability to interact with cross-functional teams.
  • Strong problem-solving abilities
  • Highly developed analytical and organizational skills
  • Ability to work in a fast-paced environment.
