POSITION: Accounting Officer

 


Job Description

The Accounting Officer is responsible for managing customer transactions, including invoices and receipts, in a timely and efficient manner in accordance with best accounting practices and Castel Malawi Ltd policies and procedures. The role ensures the maintenance of complete and accurate accounting records of all transactions with customers.


Key Responsibilities

  • Reconcile customer accounts and resolve discrepancies such as duplicate payments or incorrect invoicing.

  • Regularly review customer accounts to track outstanding invoices and follow up on overdue payments.

  • Ensure all payments in customer accounts are accurately allocated to respective invoices in real time.

  • Maintain safe and secure customer records to avoid loss of documents.

  • Ensure customer and staff accounts are created with accurate details and parameters.

  • Communicate effectively with customers regarding payment reminders, queries, and dispute resolutions.

  • Monitor ageing reports and resolve overdue amounts promptly with customers.

  • Collaborate with Sales and Finance teams to resolve customer issues and improve receivables performance.

  • Approve and release customer orders within defined credit limits.

  • Ensure customer account credit limits match the value of Bank Guarantees.

  • Issue and collect WHT Certificates for any deductions from payments.

  • Ensure VAT is properly charged on all sales and fiscal invoices.

  • Prepare and book sales journal vouchers in line with accounting procedures.

  • Run weekly ageing analysis reports and circulate to Sales and Finance teams to resolve overdue amounts.


Qualifications

  • Advanced Diploma in Accounting with at least 3 years’ experience in a busy finance office.

  • Bachelor’s degree in Accountancy is an added advantage.


Key Competencies

  • Good interpersonal communication skills (oral and written).

  • Strong knowledge of taxation and accounting principles.

  • Attention to detail.

  • Team player with good records management skills.
